How do I send a PPWR data request?

Table of Content

I. Before you start

A registered supplier — a company with its own account in the Supply Chain Hub, connected to your company via the supplier directory — is required to send a data request.

If your supplier is not yet registered, you have two options:

  • Invite them to create an account on the Supply Chain Hub (see How do I send a connection request). Once they register and connect with your company, you can send the data request.
  • Enter the data yourself on their behalf — no data request is needed. Open the component's Sustainability tab, fill in the data directly, and click Mark as completed.

Components with no supplier assigned at all (in-house manufactured parts, standard commodity items such as Euro pallets or shrink film) are always completed by you directly — no data request is possible for these.

II. Sending the request

  1. Go to PPWR › Components and open the component you want to delegate.
  2. Check the Master Data tab and confirm a registered supplier is assigned. If the supplier field is empty or shows a non-registered company, see Section I above
  3. Click "Request data" on the component detail page. The "Request data from supplier" dialog opens.
  4. Add instructions (optional)— describe the specific data you need, reference relevant test reports, or provide context about the packaging scope and application.
  5. Click Submit. The component status changes from Incomplete to Requested. The supplier receives an email notification and can now log in to fill in the data.

Important

While a component is in Requested status, you cannot edit its sustainability data directly. To regain edit access, you must first cancel the request (Section V below) or wait for the supplier to complete it.

III. Monitoring the requested status

Open PPWR › Components to see the current status of every component at a glance. Each component shows one of three statuses:

  • Incomplete: No data yet — or request was cancelled / component was reopened. You can edit the sustainability data directly or delegate it to a registered supplier with "Request data".
  • Requested: Waiting for supplier data. You have delegated data entry to your supplier. They can now view and edit the sustainability record. You can view the record but cannot edit it.
  • Complete: Data submitted. The supplier (or you, for components without a registered supplier) has submitted the data. Both you and the supplier can view the record, but neither can edit it without a re-request or reopen action.

IV. When all components are complete

Once every component assigned to a packaging unit has reached Complete status, the packaging unit's data collection status automatically changes to Data Provided. You can then proceed to review the submitted sustainability data and, if you are acting as the Manufacturer (Erzeuger), generate the Technical Documentation and Declaration of Conformity for that packaging unit.

V. Cancelling, re-requesting, or reopening

Cancel a request

Available when status is Requested. Click Cancel request on the component. The status returns to Incomplete, you regain edit access to the sustainability data, and the supplier can no longer view or edit the record.

Re-request data (re-delegate a completed component)

Available from Complete status. Click Re-request data. The completion timestamp is reset, the status returns to Requested, and the supplier receives a new notification. Use this when the supplier needs to correct or update their data.

Re-open (reclaim a component you completed yourself)

Available when status is Complete and the component has no registered supplier assigned. Click Re-open to reset the completion and make the sustainability data editable again.

VI. Bulk actions

You can act on multiple components at once from the PPWR › Components list view.

Tick the checkbox on any row to activate selection mode. A Bulk action dropdown appears above the list. The available actions depend on the statuses of your selection:

  • Request data — available when all selected components are Incomplete and have a registered supplier assigned.
  • Cancel request — available when all selected components are in Requested status.
  • Re-open — available when all selected components are Complete and were filled in by you (no registered supplier).
  • Delete all selected — available when none of the selected components have packaging units assigned.
